How to Add a Custom Field

Add a field of your own to deals, contacts, companies or products, so your records hold what your business needs.

Every business tracks something the standard fields do not cover, such as a delivery date or a region. A custom field adds it to the forms your team already uses. This guide walks through adding one, and then managing it.

In this article
  1. Open Custom Fields in Settings
Open Settings and choose Custom Fields. The page is titled Custom Fields and explains that these fields appear in deal, contact, company and product forms. It has one section for each of Deals, Contacts, Companies and Products.
  2. Choose Add Field
In the section for the kind of record you want, choose + Add Field. A panel titled Add Custom Field opens on the right.
  3. Name the field
Type the Field name. It is required, and the hint shows the style to use, for example delivery_date.
  4. Give it a Display Label
The Display Label is the name your team reads on the form, for example Delivery Date. It is also required.
  5. Choose the Type
The Type list offers Text, Number, Date, Text Area, Checkbox, Dropdown (single), Dropdown (multi) and Phone.
  6. Add the options for a dropdown
If you chose a dropdown, an Options box appears. Type one option per line. The options are required for a dropdown.
  7. Decide Required and Unique
Switch Required on if the field must always be filled in. Switch Unique on if no two records may share a value. Unique is available for Text, Number, Date, Dropdown (single) and Phone, and the panel tells you when the type you chose does not support it.
  8. Choose Add Field
The button stays off until the name and the label are filled in. When you choose it, the field is saved and appears in the list for that kind of record. If your plan has reached its limit for custom fields, a message says so. An admin sees a See plans button, and everyone else is asked to speak to the account owner about upgrading the plan.
  9. Manage it later
The list shows each field's Label, Type, Entity and Required setting. Switch Required on or off in the row. Use the row's actions to Deactivate a field, to Reactivate it later, or to Delete it.

A few things worth knowing

Deleting a field asks you to confirm. The field moves to the Recycle Bin and can be restored for 60 days. If you only want it out of the way for now, Deactivate it instead and Reactivate it when you need it.

A custom field you add for products appears in the New product window, and a required one has to be filled in before the product can be saved. To choose which of the standard fields your team sees, the guide on hiding, requiring and reordering default fields shows how. What you can do on this page depends on your role, so ask an admin if you cannot see Custom Fields in Settings.
