How to Edit Picklist Values

Change the choices your team sees in a dropdown: rename a value, add a new one or remove one you no longer use.

Many fields in your CRM are dropdowns, where a person picks one value from a list. The Picklists page in Settings is where you keep those lists the way your business talks. It describes itself in one line, Customize how dropdown values appear in forms. This guide walks through renaming, adding and removing values.

In this article
  1. Open Picklists in Settings
Open Settings and choose Picklists. If you do not see Picklists in Settings, your role does not include it, so ask an admin. The page is titled Picklists.
  2. Find the dropdown
The page shows one card for each dropdown in your workspace. The card carries the name of the dropdown, an Edit link at the top and the current values as small chips. The note at the bottom of the card reads Click a chip to rename.
  3. Rename a value
Click the value you want to change. It turns into a text box. Type the new name and press Enter, or choose the tick to save. Press Escape or choose the cross to leave the name as it was. A name left empty is not saved.
  4. Add a value
Choose the dashed Add button at the end of the chips. A box that reads New value appears. Type the value and press Enter, or choose the tick. Press Escape or choose the cross to cancel. The Edit link at the top of the card opens the same box.
  5. Remove a value
Choose the small cross on the value. A window asks whether to remove that value, naming it. Choose Remove to confirm, or Cancel to keep it.
  6. Fill an empty card
If you removed every value from a standard dropdown, the card says No values left, you have removed all of them, and offers an Add button. Some dropdowns come from an industry pack. If your workspace was set up without that pack, the card tells you its values are not seeded automatically and offers Add your own values. Choose it and type your first value.

A few things worth knowing

Which cards you see depends on your workspace. The page asks for the list of dropdowns when it opens, so a workspace set up with an industry pack can show dropdowns that another workspace does not.

If a change does not go through, the page shows the reason in red under the name of the card, and the value stays as it was. If a card cannot load, it says Could not load values and offers a Try again link. Choose it to ask again.

This page changes the values in a list. To add a field of your own, the guide on adding a custom field shows how, and the guide on hiding, requiring and reordering default fields shows how to shape the fields your team fills in. Keep in mind that this page does not tell you what happens to a record that already holds a value you rename or remove, so check a record you know before you change a value your team uses every day.
