How to Create and Manage Tags

Make your own labels for deals, contacts and companies, give each one a color, and keep the list tidy.

Tags are short labels your team makes up. Nothing is set up for you, so you create exactly the labels your business uses. This guide walks through the Tags page: adding a tag, changing it and deleting it.

In this article
  1. Open Tags in Settings
Open Settings and choose Tags. The page is titled Tags and describes itself as your own labels for deals, contacts and companies. It says nothing is pre-set, so create what your team needs. If you do not see Tags in Settings, your role does not include it, so ask an admin.
  2. Choose Add
Choose + Add at the top right of the page. A form opens under the list. If you have no tags yet, the list says so and tells you to click + Add to create one.
  3. Type the tag name
Type the name in the box that reads Tag name. Use a word or two that your team will recognise at a glance.
  4. Pick a color
Under the box is a palette of ten colors. Choose one. The palette is fixed, so every tag in your workspace stays easy to tell apart, and there is no box for typing a color of your own.
  5. Choose Add
The button reads Adding while it saves. The tag then appears in the list as a colored chip. Choose Cancel if you change your mind.
  6. Edit a tag
Use the row's actions and choose Edit. A window titled Edit tag opens with the Tag name box and the palette. Change the name or the color and choose Save, or press Enter to save the name. Choose Cancel to leave the tag as it was.
  7. Delete a tag
Use the row's actions and choose Delete. The page asks you to confirm, and says the tag will be removed from every record it is on. Confirm to delete it.
  8. Know the plan limit
If your plan sets a limit on tags and you reach it, a message appears saying the tag limit has been reached. It tells you the numbers, and the account owner is the person who can change the plan.

A few things worth knowing

Because deleting a tag removes it from every record, think before you delete one your team uses. A tag you only want to rename can simply be edited. The colors are the same ten for everyone, so give two tags that sit close together in your work different colors.

What you can do on this page depends on your role. To keep richer details on your records, the guide on adding a custom field shows how, and the guide on managing your pipeline shows the board where your deals live.
