How to Invite a Teammate

Bring a colleague into your workspace by email, choose their role, and keep track of invitations that are still waiting.

A CRM works best when your whole team is in it. You invite people from the Users page, and each person gets an email with a link to join. This guide walks through sending an invitation, then following it up.

In this article
  1. Open Users in Settings
Open Settings and choose Users. The page is titled Users and lists the people in your workspace. If you do not see Users in Settings, your role does not include it, so ask an admin.
  2. Read the seat line
Under the title, a line counts your active users. If your role can see billing, it also says how many seats you use out of how many your plan has, or that seats are unlimited. A seat is an active user, so this is the number to check before you invite someone.
  3. Choose Send Invite
Choose Send Invite at the top right, beside + Add User. A window titled Send Email Invitation opens and tells you it is for inviting a colleague to join this workspace.
  4. Type the email address
Type your colleague's Email address in the box. It is required, and the hint shows the shape of an address, such as colleague@company.com.
  5. Choose the Role
The Role list offers Admin, Manager, Sales Rep and Read Only. Sales Rep is chosen for you, so change it if your colleague needs a different role.
  6. Choose Send Invitation
The button stays off until you have typed an email address, and it reads Sending while it works. Choose Cancel to close the window without sending.
  7. Read the confirmation
When the invitation goes out, the window says it was sent to that address. Choose Done to close it. If the email could not be sent, the window says the invitation was created but the email could not be sent, that your colleague has not been notified, and that the invite link is still valid, so you can share it with them directly or resend it later.
  8. Resend a pending invitation
Invitations that have not been accepted appear under Pending Invitations, with a count. Each row shows the email address and the role. Choose Resend on a row to send that invitation again.
  9. Deactivate or reactivate a user
Use a user's row actions to Deactivate someone who has left, or Reactivate them later. A deactivated user does not use a seat. If reactivating would take you past your plan's seats, the page says so on that row.

A few things worth knowing

A test or protected workspace sends no real email. In that case the window says test mode, that no real email was sent, and that the invite link is recorded and can still be redeemed. If your subscription has been cancelled, the workspace is read-only and the page says you need to resubscribe before you can invite or reactivate users.

What you can do on this page depends on your role. Once your teammate has joined, the guide on managing tags shows how to make labels your whole team can share, and the guide on hiding, requiring and reordering default fields shows how to shape the forms they will use.
