How to Restore a Deleted Record

Deleted the wrong deal or contact? Find it in the Recycle Bin and bring it back with one action.

When you delete a record in your CRM, it does not disappear at once. It moves to the Recycle Bin, where you can look at it and restore it for a limited time. This guide walks through finding a record there and restoring it.

In this article
  1. Open the Recycle Bin
Choose Recycle Bin in the left menu. If you do not see it, your role does not include it, so ask an admin.
  2. Choose the tab
A row of tabs runs across the top: Deals, Contacts, Companies, Tasks, Notes, Calls, Roles and Custom Fields. Choose the tab for the kind of record you deleted. The tab you chose stays in the address of the page, so you can bookmark it.
  3. Find the record
The list shows the name of each deleted record, when it was deleted and who deleted it. Use the search box to find a record by its name.
  4. Check the Retention column
Each row shows a bar and the number of days left. A line above the table explains that records are kept for a number of days and then purged automatically. When only a few days are left, the bar changes colour. With three days or fewer the row reads, days left, purges automatically, with a warning mark in front.
  5. Choose Restore
On the row of the record, choose Restore.
  6. Confirm
A window asks, Restore this record? It names the record and says it will be restored and reappear in the tab you are on, for example Deals. Choose Restore to confirm.
  7. Open the record again
Go to the place where that kind of record lives, such as your deals or your contacts. The record appears there again.

A few things worth knowing

You restore one record at a time. The page has no button that restores or purges many records at once.

Each row also has Purge. It is the permanent option: the window that opens says that it cannot be undone and that the record will not be recoverable. Only people whose role has the permission to purge can use it. Everyone else sees Purge (admin only) and a message that permanent deletion needs that permission. While a record is still in the bin, Restore is the safer choice. If a purge is refused, the page shows the reason it was given.

If a restore does not go through, an alert at the top of the list says so, and the record stays in the bin. If your role is refused, a window explains what is missing.

Deactivated teammates never appear in the Recycle Bin. Removing a user or an employee is always a deactivation, and you manage that in Settings under People. To see who can open settings like this one, the guide on creating a custom role shows how roles work, and the guide on adding a custom field covers the fields that can also be restored here.
