How to Create and Manage Tasks

Give every follow-up an owner and a date: create a task, find what is due, tick it off when it is done.

Tasks are the to-dos behind your deals and conversations, such as calling a customer back or sending a document. The Tasks page lists them for your team and lets you create, complete, edit and delete them. This guide walks through each of those.

In this article
  1. Open Tasks
Choose Tasks in the left menu. If you do not see it, your role does not include it, so ask an admin. The page is titled Tasks. At the top right a switch lets you move between the List and the Calendar.
  2. Choose New Task
Choose + New Task. The New Task window opens. If you have no tasks to show yet, the list offers the same button.
  3. Fill in the task
Type the Title; it is required. Pick a Due Date if there is one. Under Assigned To, choose who owns the task; it starts on you and it is required. Under Priority, choose one of the buttons; the choices come from your workspace's own list of priorities. Add a Description if it helps whoever does the task.
  4. Create the task
Choose Create Task. The button reads Saving while it works. If the title is empty the window says that the title is required, and if nobody is chosen it asks you to select an assignee. Choose Cancel to close the window without saving.
  5. Find tasks with the chips
A row of chips sits above the list: Today, This week, Overdue, Done and All Open. The first three show a count when there is something in them. The list opens on your own open tasks that are due today. Admins and managers also see My Tasks and All Tasks, to switch between their own tasks and everyone's.
  6. Mark a task done
Tick the small box beside the title, or choose Mark done on the row. A done task is struck through and moves out of the open lists. You find it again under the Done chip.
  7. Edit a task
Choose Edit on the row. The same window opens, titled Edit Task. Change what you need and choose Save Changes. Edit is offered on tasks that are assigned to you or that you created, and to admins and managers on any task. It is not offered on a task that is already done.
  8. Delete a task
Choose Delete on the row. A window asks whether to delete the task, naming it, and tells you that it moves to the Recycle Bin and can be restored. Choose Delete to confirm.

A few things worth knowing

What you see depends on your role. A person who is not allowed to see everyone's tasks sees their own, whatever the chips say.

A deleted task is not gone at once. The guide on restoring a deleted record shows how to bring it back from the Recycle Bin. The priorities you choose from belong to your workspace, and the guide on editing picklist values shows how a workspace changes the values in its dropdowns.

This guide covers the Tasks page only. It does not cover reminders, repeating tasks or tasks created from a deal or a contact, because this page does not show them.
